Position Summary
The Scheduler is responsible for coordination for all service requests for the community and follow-up for coordination of service requests. Responsible for coordinating technicians schedules and utilizing proper software systems under the Make Ready program to schedule Maintenance Technicians time/labor appropriately. Additionally, the scheduler is responsible for collecting, and ensuring the service requests are appropriately documented and closed.

Position Reports To: Maintenance Manager

Essential Functions/Responsibilities

  • Responsible for prioritizing, scheduling, and assigning service requests
  • Responsible for accurately closing out service requests in software management system
  • Responsible for phone and or email follow up if assigned for service requests
  • Ensures all updates of staff, scheduling for personnel and on-call procedures with work order answering service and website are completed
  • Responsible for assigning vendor work orders for resident service requests and property work orders.
  • Assists Maintenance Manager in distributing assigned/scheduled work orders to Maintenance Technicians.
  • Communicates with residents regarding setting appointment time for routine service requests and follow-up.
  • Performs other duties as required.

    Education and/or Experience.
    Must have high-school or equivalent education and experience in multifamily housing property management. Customer service and experience in residential property management/maintenance preferred.

    Skills/Specialized Knowledge

  • Must be able to concentrate on intricate detail with some interruption
  • Proficiency in computer skills (word processing and Microsoft Excel) in order to develop and/or complete required reports
  • Ability to operate standard office equipment.
  • Good to excellent spelling, grammar, and written communication skills.
  • Excellent telephone and oral communication skills.
  • A technical background in multifamily property maintenance preferred.

    Required Licenses
    Valid drivers license if required to operate a licensed motor vehicle in order to perform the job duties.

    Other Requirements
    To perform this role successfully, an individual must be able to perform all essential functions satisfactorily. The Scheduler must possess the computer, phone, and customer service skills necessary to perform requirements. Vision requirements include close and distance vision and the ability to adjust focus. Must be able to sit or stand up to eight hours a day as well as walk and reach frequently. Must use hands to finger and hold. Must be able to travel independently.

    Mental Functions
    The ability to collect and comprehend data in order to problem-solve variables in standardized situations. The ability to concentrate on work of moderate detail with some interruption and office background noise.

    Work Environment
    Normal office or administrative working conditions with little or no exposure to undesirable elements including natural and/or artificial light.
